Information We CollectWe collect information in three main categories: (A) Coach User Data, (B) Scraped Athlete Data, and (C) Usage Data.(A) Coach User DataThis is information collected when you register for or use the Service:Identity and Authentication Data: Your unique user ID (e.g., Firebase UID), which is generated upon sign-up or anonymous sign-in, and any associated email address or login credentials.Account Information: Coach role, preferences, and activity history (e.g., date of last export, settings configurations).Correspondence: Records of communications when you contact us for support or inquiries.(B) Scraped Athlete DataThis data is publicly available information that is collected and stored by the Service on your behalf for recruiting purposes:Identifiable Information (PII): Full name, email, phone number, and NCAA ID, if publicly available in the athlete's bio/profile.Performance and Profile Data: Biographical summaries (bios), social media handles (e.g., X/Twitter), position, height, weight, GPA, high school, and links to performance footage (e.g., Hudl, YouTube).Processing Status: The classification status of the athlete's data (e.g., COMPLETED, FAILED, PROCESSING) which is stored in our database.(C) Usage and Analytics DataThis data is collected automatically as you interact with the application:Device and Connection Information: IP address, browser type, operating system, and mobile device identification.Activity Data (Analytics): Pages viewed, features utilized, clicks, scrolling patterns, and interaction events (e.g., "Export Started," "Table Filter Applied").Session Replays: Recordings of your interactions and activity within the application to diagnose usability issues and improve the UX. Note: Sensitive input fields (like passwords or private keys) are masked during recording.3. How We Use Your InformationWe use the collected information for the following purposes:Service Provision: We use Coach Data and Athlete Data to fulfill our contractual obligations to you by providing core application functionality, such as displaying and managing athlete profiles.Data Classification: We process Athlete Bio Data to perform essential LLM-based structured data extraction, which delivers the core value of the Service.Security & Auditing: We use Coach Data and Usage Data based on our legitimate interest in maintaining the security of our service and detecting fraudulent or unauthorized activity.Product Improvement: We analyze Usage Data and Session Replays (via PostHog analytics) based on our legitimate interest in understanding user behavior, diagnosing UX issues, and continually improving the application.Communication: We use Coach Data (Email) to respond to your support inquiries, provide account-related updates, and share important service announcements.4. How We Share and Process InformationWe rely on external providers to perform essential services. We only share the minimum necessary information required for these providers to function.A. Third-Party Data ProcessorsLarge Language Model (LLM) Processing:Data Shared: Athlete biographical text (bios) and associated profile context are sent to the LLM (e.g., OpenAI API) to perform structured data extraction and classification (e.g., identifying position, height, and GPA).Purpose: To transform unstructured text into actionable, structured data points within the Athletes Dashboard. We do not send Coach User Data to the LLM service.Analytics and Monitoring (PostHog):Data Shared: Usage Data (clicks, events, pages viewed) and your unique User ID are sent to PostHog.Purpose: To enable session replays, heatmaps, and funnel analysis (as described in ANALYTICS-1001) to understand feature adoption and improve the user experience.Authentication and Database:Your unique user ID and athlete data are stored using our cloud database provider (e.g., Firebase Firestore, Supabase, etc.) to ensure data persistence and real-time updates.5. Data Retention and SecurityData Retention: We retain Coach User Data for as long as your account is active. We retain Scraped Athlete Data for as long as you maintain the athlete in your dashboard or until you explicitly request its deletion.Security: We utilize industry-standard security measures, including HTTPS/TLS encryption for all data transmission and dedicated worker processes/queues (DESIGN-002) to handle asynchronous, sensitive data processing outside the vulnerable client session.6. Your RightsDepending on your location, you may have the right to:Access: Request a copy of the personal data we hold about you.Rectification: Request correction of inaccurate or incomplete data.Deletion (Right to be Forgotten): Request the deletion of your personal data.Opt-out of Analytics: You can request to opt-out of non-essential usage tracking (e.g., PostHog Session Replays) by contacting us at the email address provided in Section 1.7. Changes to This PolicyWe may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Effective Date" at the top.
